Position Summary:
The person in this position is responsible for administrative duties as assigned by the Administrative Services Director. The person in this position performs all required administrative functions related thereto, such as correspondence, memos, conference call minutes, etc.

Essential Job Functions:

Coordinate and schedule meetings for leadership team as needed.

Schedule appointments and maintain and update appointment calendars.

Keep a current record of staff members' whereabouts and availability.

Submit monthly credit card expense report, as needed

Assist in monitoring and implementing FDOT guidelines and regulations for the agency including vehicle maintenance requirements, along with respective parties including, but, not limited to, the Maintenance Director and Human Resources (for training guidelines).

Assists in monitoring inventory of facility consumer supplies.

Act as backup to receptionist.

Orders business cards, brochures, stationery, and other agency branded material for the agency

Set up conference rooms for meetings.

Handle confidential information according to strict ethical standards.

Provide administrative support to other staff on an as needed/as directed basis.

Travels to various agency sites and other off-site locations to ensure agency needs are met.

Complete special projects as directed by the Administrative Services Director, Clinical Director or VP of Operations.

Assist with information gathering and compilation to ensure compliance with the Joint Commission, Managing Entities, Corrective Action Plans, and Pre-licensing requirements.

Assist in Administrative oversight of development and implementation of, policies and procedures related to agency assigned.

Assist in maintaining inventory of keys of all facilities, as needed.

Assist in completing check requests for the administrative department.

Assist in oversight of events for persons served in residential campus

Writes, edits, or ensures successful submission of articles for monthly WestCare newsletter.

Assist in Identifying and researching potential donors, donations, and gifts

Ensures compliance with timeframes and schedules for projects as assigned.

Education:
Graduation from an accredited four-year college with a bachelors degree in Business Administration or a related field is preferred.

Minimum High School Diploma or G.E.D. is required

Experience and Competencies:

Two (2) years experience in behavioral health or related field is required

Bilingual is preferred;

Must be flexible to work nights and/or weekends to complete special projects

Must have reliable transportation

Must be familiar with Miami-Dade and Broward County

Ability to exercise good judgment and discretion

Ability utilize Microsoft Office Software Suite (Word, Excel, Powerpoint, etc)

Ability to communicate effectively in writing and with all levels of employees and office visitors.

Ability to handle multiple tasks and effectively prioritize.

Ability to work well in a team environment

Ability to provide an Affidavit of Good Moral Character

Clearance in Pre-Employment Drug Testing and Criminal Records Checks, as required.

CPR Certification, First Aid Certification and an annual Tuberculosis test.

As mandated by Presidential Order all employees of WestCare Foundation, Inc. and all affiliates of WestCare Foundation, Inc. will be required to be fully vaccinated against COVID-19 effective 11/1/2021. Employees that have requested a Medical or Religious Exemption, which has been approved by Human Resources will be required to test for the virus weekly.

During your tenure with WestCare there may be new requirements, including, but not limited to vaccinations that are issued by local, State, Federal, and/or Funders that WestCare may have to comply with. Should this occur Human Resources or appropriate personnel will inform you.
